Forest Planning Meeting - New Date: Tuesday 19th

...in The Forest Hall.

This is a big, open, public meeting to plan what we are going to do for the next month. It is for anyone that is already involved or wants to get involved in doing something at the forest. It is a meeting to discuss anything that needs to be done at the Forest or anything that you want to do, a project that you want to start, etc. The idea is to get people together who want to work on things so that they can make their plans and then go away and do it!

Previously the Forest used open "working group" meetings for this and we had several different working groups for different aspects of the Forest. Now we are trying out a new approach where we have one big monthly meeting instead of several smaller ones. At the meeting we will break up into sub-groups to discuss and plan the different projects that come up, so you can go into the group(s) that you're interested in.

I popped into an EVS meeting and took a look at recent post on this bb and got some ideas to put together an initial agenda (please post more agenda points below):

Front Of House: doing art around the building: murals, lampshades, etc.

Voluntary Arts Week organised by Voluntary Arts Scotland, potential for us to get involved

The Meadows Festival is 4th and 5th June, looks like we will be running a stage and a bar, crew needed.

The Leith Festival is 10th-19th June, we could participate, have forest events listed in their programme, participate in the parade, have a stall at the gala day. See our discussion here.

August, the fringe volunteers will be needed before, during and after. I think it might be a little too early to plan for this just now.

Maintenance handy people are needed to do jobs around the forest. Making things, painting things, fixing things. I'll try to talk to the right people and get a specific list of what needs doing.

Promotion of our Save The Forest campaign, our fundraising events, and Forest events generally. Flyering, the monthly program, media team, facebook, twitter, the forest website. Also help with running events.

Ack, probably should have done a doodle poll before I booked the date, but I was just trying to find a day when the hall was free that was as close as possible to the day we agreed at the fat meeting.

Can people post here if they can't make Monday 18th? If it looks like it's gonna be a problem then we can adjust if necessary.

We wanted a Sunday but the hall was all booked up on Sundays and Saturdays.

Harry, what dates can you do and I can try to rearrange the hall booking with Chris? Tuesday 19th? Weds 20th?

Probable items for the agenda (based on recent website posts):

Save The Forest Campaign
admin, press, grants, fundraising events, smooching celebs, chugging on the street

TenTracks
a month of live music events to help save the forest, help to run and promote these events

Community Events
community outreach events around Edinburgh, run stalls and hand out flyers at events
get community organisations and festivals to collaborate with us to help save the forest

Between the 16th and the 24th, currently any evening except Monday 18th and Wednesday 20th: I work Monday and Wednesday nights in Perth. But I'm sure others also have unexpected commitments.

Alright, the hall is free Monday 18th and Tuesday 19th but no other evening that week.

Shannon, Catalina, Ryan and I had a meeting today to plan this big meeting on Tuesday. Here is our plan for the meeting:

1. Introduction (15 mins, Ryan)

What is this meeting for? To keep forest running in an exciting and
diverse way, keep events and projects happening, etc. This is the
first of these meetings. In the future the meetings may be themed
depending on what's coming up, e.g. a festival meeting before August.

2. First breakout (45 mins)

- Events (Catalina to bottom-line)
Meadows fest, Leith fest, August, events group to organise at least
one big forest event per month

- Promo (Harry and Sean to bottom-line)
Flyering, press, website, forming a media team, monthly program,
facebook, twitter

3. Ten minute break
4. Second breakout (45 mins)

- Fundraising (Harry to bottom-line)
admin, press, grants, smooching celebs, fundraising events

- Free Shop (ask Kata and/or Peschi to bottom-line)

- Front of House (Ryan and Shannon to bottom-line)
Art, posters around the building, murals, lampshades, making the
cafe look and feel nice, how to deal with the tension between our
different aesthetic visons

5. Feedback (30 mins)
- Feedback from each of the four groups
- Voluntary Arts Week: sounds like people are on this (Brittonie,
Kata, Birgit, Harry Lien) but may want to do a call-out for
volunteers?
- Roofraisers: may want to do a call-out for volunteers to help run
these? Ed?
- Any other business? (e.g. call outs for volunteers for projects,
etc.)
- The next one of these meetings (to be organised by Catalina): any
agenda points for? what days are people available?

So the plan is for the meeting to last 2.5 hours max.
